The Contract Specialist will be responsible for managing contract negotiations, handling legal and insurance aspects of RFx processes, and ensuring compliance with Canadian and U.S. privacy laws. The role requires strong organizational skills, attention to detail, self-motivation, and involves collaboration with Finance, Sales, and Marketing teams while reporting to the Director of Finance.Job Description:
As the Contract Specialist, you will coordinate with internal and external stakeholders on the negotiation and implementation of all agreements and will lead the legal and insurance review of the RFx process. This role will include review of privacy legislation (Canada and USA).
The successful candidate will be organized, detail oriented, and self-motivated. The Contract Specialist will report to the Director of Finance and will work closely with Sales and Marketing and Finance teams.
Responsibilities (How you will make an impact)
- Coordinate the legal and insurance review for RFx and contract lifecycle processes from initial intake/contract award to final submission, ensuring deadlines are met and adherence to internal guidelines/standards and compliance with external regulations, where applicable
- Analyze and comment on RFx, contracts, and contract-related documents and give proactive advice – liaise with Senior Legal Counsel, as necessary
- Review customer-proposed terms and conditions, risk identification, and act as a liaison between internal and external parties. Participate in contract negotiations and formulation/implementation of negotiation strategy
- Work closely with the customer's legal team, procurement, and business units to complete requests independently
- Maintain contractual documentation in the contract database and CRM, where applicable, including capturing internal data/exceptions, and provide summaries to internal stakeholders
- Spearhead the standardization of contracts and improvement processes for the internal legal department and participate in system or process improvement initiatives in legal and G&A department, in general
- Review privacy legislation (Canada and USA) proactively and highlight key takeaways or impact for internal stakeholders.
- Work and collaborate with internal customers on contract and legislation related queries/matters, evaluation of terms and condition and contracts related to vendor/purchasing agreements, and security questionnaires
Qualifications (What you will bring to the team)
- Minimum five years experience managing contract negotiations and working with internal stakeholders to support a technology business, is preferred
- Excellent communication and problem-solving abilities
- Strong negotiation, organizational, and project management skills
- Ability to manage multiple priorities and collaborate across departments
- Proven track record of responsiveness and dependability in a deadline driven environment
- Experience with privacy legislation, is a plus!
Technical Skills
- Experience with Microsoft products - Excel, Word, PowerPoint, Outlook and SharePoint.
- Experience with contract management, salesforce CRM, or workflow software tools is a plus.
