This high-impact position will own and shape the entire bid lifecycle—from expertly dissecting RFIs/RFPs and curating high-quality response content, to steering cross-functional teams and driving post-submission analysis for ongoing improvement.

As a trusted partner to Sales Managers and GTM Leadership, you will craft winning proposal strategies that are not only fully compliant, but also compelling and customer-centric. You will ensure every deliverable reflects Staffbase’s standards of clarity, consistency, and excellence.

Joining our Deal Operations team, you will play a key role in scaling and elevating our bid management function, spearheading process innovation and delivering proposals that help close complex, business-critical deals.

Important: This is a hybrid role. Core in-office days in our NYC (Tribeca) office are Tuesdays-Thursdays, and it is expected that folks will be in the office a minimum of 2 day/s per week during core days.

What you’ll be doing

  • Collaborating with Account Executives, Sales Managers, and Solution Engineers to develop winning bid strategies and ensure consistency in submitted materials
  • Identifies, tracks, and mitigates risks throughout the bid processes, managing escalations effectively
  • Run multiple projects in parallel, prioritising high-profile RFPs yet still tending to all bid management requests within operational SLAs
  • Craft compelling narrative responses, provides expert guidance and editing support, and utilizes the content library for company inquiries
  • Assign tasks and documents to other business units, initiating legal reviews and coordinating RFP response completion
  • Conduct win/loss analyses on completed bids to identify trends and supporting reporting on other bid metrics
  • Continuously improve our content library by identifying high-quality submissions, refining existing answers based on feedback, and organizing lessons-learned sessions to enhance future content
  • Develop impactful sales materials, including executive summaries and tailored templates for specific products and markets
  • Conducts competitor analysis to benchmark performance and identify areas for improvement
  • Lead key improvement projects within Deal Operations to enhance and scale Bid Management capabilities
  • Proofread and edit client-facing documents, ensuring consistent formatting, quality, and accuracy of company details

What you need to be successful

  • 5+ years of experience in Bid Management, or in a similar role that has directly worked on proposals and questionnaires
  • Fluent in English (and German is a big plus), with excellent verbal and written communication skills
  • Experience with RFP software solutions like Loopio, Responsive, or AI-powered writing tools
  • Proven ability to manage multiple complex projects and experience in risk management
  • An excellent communicator and building strong relationships with stakeholders of all levels
  • Excellent time management, prioritization and organizational skills, proven ability to work with deadlines and multiple priorities
  • Proactive self-starter with great commercial awareness and highly analytical
  • White-glove level service ability, meticulous by nature
  • Experience with SaaS sales process(es)

In compliance with local law, we are disclosing the compensation, or a range thereof, for roles that will be performed in New York. Actual salaries will vary and may be above or below the range based on various factors including but not limited to location, experience, and performance. The range listed is just one component of Staffbase's total compensation package for employees. Pay Range: $125000 - $150000 base salary per year. Other rewards may include commissions and program-specific awards. In addition, Staffbase provides a variety of benefits to employees, including health insurance coverage, equity, paid parental leave, an employee growth budget, life and disability insurance, a retirement savings plan, wellness days, paid holidays and paid time off (PTO).
