About the RoleWe are seeking a highly organized, detail-oriented, and proactive individual to join our team as a Finance Administrator & Executive Assistant. This hybrid role requires a professional who can seamlessly manage financial administration, general bookkeeping, data entry and records, executive-level support, and assist with daily office operations. The ideal candidate thrives in a dynamic environment, possesses exceptional multitasking skills, and has a strong background in finance and organizational support.Role and Responsibilities• Assist in budget preparation, tracking expenses, and managing financial reports.• Carry out accounts payable/receivables, tax and payroll processing.• Reconcile financial transactions and ensure accurate record-keeping.• Work with external accountants and finance consultants to ensure compliance with tax filings and audits.• Identify cost-saving opportunities and optimize financial workflows.Executive Assistant Duties• Serve as the primary point of contact for the CEO, managing calendars, scheduling meetings, and coordinating travel arrangements.• Handle sensitive information with a high level of confidentiality and discretion.• Manage communication, including screening emails and calls, prioritizing tasks, and responding on behalf of the CEO when necessary.• Assist with day-to-day office operations, including maintaining office supplies, coordinating with vendors, and ensuring a well-organized and functional workspace.• Plan and execute company events, team meetings, and other activities.Required Skills & Qualifications• Bachelor’s degree in Business Administration, Accounting, Finance, or a related field (or equivalent experience).• 5+ years of experience in a similar hybrid role or related positions.• Proficient in office management tools (e.g., Microsoft Office) and financial software (e.g. Xero, Sage).• Strong organizational and time-management skills, with the ability to prioritize multiple tasks.• Excellent verbal and written communication skills.• High level of attention to detail and accuracy.• Proven ability to handle confidential information with professionalism.• Flexibility and adaptable problem-solving skills in a changing environment.Preferred Qualifications• Experience in HR-related tasks such as onboarding and benefits administration.• Knowledge of financial regulations and best practices.• High tech industry experience and/or aerospace backgrounds.
