About the RoleWe are seeking a highly organized, detail-oriented, and proactive individual to join our team as a Finance Administrator & Executive Assistant. This hybrid role requires a professional who can seamlessly manage financial administration, general bookkeeping, data entry and records, executive-level support, and assist with daily office operations. The ideal candidate thrives in a dynamic environment, possesses exceptional multitasking skills, and has a strong background in finance and organizational support.Role and Responsibilities- Assist in budget preparation, tracking expenses, and managing financial reports.- Carry out accounts payable/receivables, tax and payroll processing.- Reconcile financial transactions and ensure accurate record-keeping.- Work with external accountants and finance consultants to ensure compliance with tax filings and audits.- Identify cost-saving opportunities and optimize financial workflows.Executive Assistant Duties- Serve as the primary point of contact for the CEO, managing calendars, scheduling meetings, and coordinating travel arrangements.- Handle sensitive information with a high level of confidentiality and discretion.- Manage communication, including screening emails and calls, prioritizing tasks, and responding on behalf of the CEO when necessary.- Assist with day-to-day office operations, including maintaining office supplies, coordinating with vendors, and ensuring a well-organized and functional workspace.- Plan and execute company events, team meetings, and other activities.Required Skills & Qualifications- Bachelor’s degree in Business Administration, Accounting, Finance, or a related field (or equivalent experience).- 5+ years of experience in a similar hybrid role or related positions.- Proficient in office management tools (e.g., Microsoft Office) and financial software (e.g. Xero, Sage).- Strong organizational and time-management skills, with the ability to prioritize multiple tasks.- Excellent verbal and written communication skills.- High level of attention to detail and accuracy.- Proven ability to handle confidential information with professionalism.- Flexibility and adaptable problem-solving skills in a changing environment.Preferred Qualifications- Experience in HR-related tasks such as onboarding and benefits administration.- Knowledge of financial regulations and best practices.- High tech industry experience and/or aerospace backgrounds.
