Our mission is simple: End Cyber Risk. We’re looking for a Executive Assistant and Office Manager in Newcastle to be part of making this happen.

Position Overview and Objective

We are seeking a highly organised and proactive Executive Assistant and Office Manager to support senior leadership and to ensure the smooth and efficient operation of our EMEA head office. This dual-role position requires exceptional communication, multitasking, and problem-solving skills, combining executive-level administrative support with office operations management.

Primary Responsibilities and Duties

Executive Assistant Duties:

  • Provide high-level administrative support to the EMEA region’s Vice President and General Manager, including managing calendars, scheduling meetings, and booking and coordinating complex domestic and internation travel (flights, hotels, visas, local transportation).
  • Coordinate and manage complex calendars, including internal and external meetings, appointments and events.
  • Assist in special projects and strategic initiatives as needed, whilst always handling confidential information with discretion.
  • Process travel reimbursements and expense reports in a timely and accurate manner.
  • Prepare presentations, reports, agendas, and meeting materials, coordinating leadership offsites or cross-functional meetings travel and documentation
  • Liaise with internal and external stakeholders on behalf of the senior leadership team and serve as a primary point of contact between many stakeholders.
  • Manage incoming communication (emails, calls, correspondence) and prioritise responses.
  • Build strong relationships across the global organisation to facilitate smooth information flow. Demonstrating judgement and maturity when handing crisis communications or urgent issues.
  • Attending meetings, take notes, and follow up on action items.

Office Manager Duties:

  • Oversee day-to-day office operations to ensure a well-functioning work environment.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate facility maintenance and liaise with property management as necessary.
  • Organise company events, meetings, and team-building activities.
  • Maintain office policies, specifically Health & Safety procedures and recommend improvements where necessary.

Key Skills & Qualifications

  • Strong proficiency with Microsoft Office Suite including Power Point, zoom, slack and other communication tools
  • 5 years’ experience working in a professional office in an executive assistant & office manager role
  • Experience of managing worldwide travel arrangements
  • Experience supporting C-level and/or senior leadership
  • Proven experience in managing office operations, vendors, and facilities.

Preferred Qualifications

Additional certifications in administrative support, project management, or office management (e.g., CAP, PMP, SHRM-CP).
