Meet the Team:

  • Provides administrative support to the site location and provides general support to employees, callers, and visitors. Coordinates schedules and calendars, activities between departments, events and celebrations.

What you'll do:

General Office Support (90%)

  • Provide shipping services to the site by preparing prepaid shipping labels using UPS, FedEx, or other appropriate mail carrier services. Sort and distribute mail and packages daily.
  • Assist Finance with receiving as necessary.
  • Provide general administrative support to employees, visitors, and callers.
  • Greet and welcome visitors, issue badges and key cards, and escort guests or service technicians per security protocols and Facilities authorization.
  • Issue employee and contractor access badges.
  • Represent Torc with a positive, professional demeanor; ensure consistent front desk presence during business hours.
  • Respond promptly to calls, emails, and office communications; run errands efficiently as needed.
  • Manage inventory of office, health, cleaning, and breakroom supplies.
  • Partner with Facilities to maintain office conditions and coordinate repairs.
  • Keep the front desk area clean and professional.
  • Provide assistance with large group / meeting food order set-up and break-down as requested.
  • Assist with ad hoc administrative tasks and projects.

Event Planning (10%)

  • Assist with the planning, coordinating, and execution of company events, parties, celebrations, and conferences.

What you’ll need to Succeed:

  • Academic coursework in computer applications, office administration and technology, or other fields of study
  • 2 or more years of experience as an Office Coordinator, Administrative Assistant, or equivalent.
  • Knowledge of office responsibilities, systems and procedures; accounting principles, data management practices and procedures
  • Proficiency with MS Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, Zoom, and survey and scheduling tools.
  • Business insight and judgment, team orientation and collaborative style.
  • Excellent interpersonal, verbal, and written communication skills to build strong relationships and positively connect with a diverse workforce and visitors including maintaining appropriate phone etiquette and professional image.
  • Strong time management and organizational skills to plan, develop, coordinate resources, prioritize effectively, and maintain competing demands simultaneously with frequent interruptions and in a fast-paced environment.
  • Excellent attention to detail and problem-solving skills.
  • Ability to ethically handle sensitive and confidential information with impartiality and professionalism.
  • Bilingualism (French and English) is desired for this position due to the nature of the role requiring interactions with different departments and stakeholders in the US.

Travel, Training and Safety Requirements

  • Wear appropriate personal protective equipment as required in areas identified through hazard assessment.

Physical Requirements

  • Occasionally lift and carry up to 40 pounds safely
  • Flexibility for day, night, and/or weekend work occasionally during the year for events, special projects, etc.
